Separate stock, allocation and documentation

A stock photograph, a quotation and an analytical report serve different purposes. A photograph may record physical inventory at a point in time. A quotation describes proposed commercial terms. A report records results for an identified sample or batch. Connect those records before treating them as evidence for a specific order.

Ask what a stock record actually represents

Find out when the record was created, who holds the inventory and whether it relates to the material being quoted. Partner-held inventory is not the same as stock owned by a seller, and stock seen during a visit is not automatically reserved for a later order.

• Is the evidence current and relevant to this enquiry?
• Who holds the inventory?
• Has a batch been assigned to the proposed order?
• Can the batch label be matched with its available documentation?

A visit photograph does not establish the analytical quality of its contents. Request the relevant batch documents separately and review them against your organisation’s requirements.

Keep a clear procurement record

Keep the agreed specification, quotation, batch identifiers, analytical documents and dispatch information together. Record which details are confirmed and which remain open. This creates a more useful purchasing record than relying on a conversation or an image alone.
